Job Summary

Provide high-level executive support to the CEO by managing schedules, information flow, workflows, and cross-department coordination to ensure smooth operations of the CEO’s office.

Key Responsibilities

  • Manage the CEO’s calendar, meetings, travel, and daily priorities, proactively resolving conflicts.
  • Screen and manage calls, emails, and correspondence, drafting responses where appropriate.
  • Prepare executive documentation, reports, and briefing materials to support informed decision‑making.
  • Coordinate meetings, including agenda preparation, minute‑taking, and tracking action items.
  • Follow up on CEO‑assigned tasks with Heads of Department to ensure timely delivery.
  • Maintain organised and confidential records and filing systems.
  • Support CEO‑led projects by consolidating reports, tracking timelines, and highlighting risks.

This role requires strong communication skills, discretion, attention to detail, and the ability to work confidently with senior stakeholders.

Job Requirements

 

Qualifications

  • Diploma or Degree in Business Administration, Management, or a related discipline.
  • Professional secretarial certification or equivalent qualification is an added advantage.
  • Strong proficiency in English and Malay; working knowledge of Mandarin and/or Cantonese is an advantage.

Technical & Functional Skills

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital calendaring tools.
  • Proven ability to manage complex calendars, high‑volume correspondence, and executive documentation.
  • Strong capability in minute‑taking, report compilation, and outcome‑driven task tracking.
  • Experience coordinating executive travel, logistics, and senior‑level engagements with precision.

Professional Knowledge & Competencies

  • Sound understanding of CEO office operations, governance standards, and corporate protocols.
  • High level of discretion with demonstrated knowledge of confidentiality and secure information handling.
  • Familiarity with cross‑functional workflows and engagement with senior stakeholders.
  • Strong business writing and communication skills, with the ability to represent the CEO office professionally.
