Executive, Human Resources

The HR Executive will provide effective HR and administrative support across the employee lifecycle for FFM Marketing Sdn. Bhd., including recruitment, onboarding, payroll inputs, employee records, performance management, benefits, employee relations, learning, engagement and separation. 
The role also supports branch HR matters, coordinates with Group HR and relevant stakeholders, and oversees assigned HR support resources to ensure accurate, timely and consistent HR service delivery. 
 
Key Accountabilities 
  • Manage recruitment and onboarding activities, including vacancy tracking, job advertising, candidate screening, interviews, pre-employment checks, salary proposals, approvals, offer arrangements, new-hire documentation, HRMS profile creation, Letters of Appointment, LHDN stamping, onboarding arrangements and employee briefings.
  • Coordinate employee lifecycle, HRMS and performance-management matters, including promotions, re-designations, transfers, reporting-line changes, contract extensions, probation and confirmation, employee and organisation data updates, system workflows, goal setting and performance assessments.
  • Coordinate payroll, leave, attendance and employee separation processes by ensuring that employee changes, supporting documents, adjustments, recoveries, cessation updates, benefit terminations and exit-clearance requirements are accurate and submitted within the applicable cut-offs.
  • Administer employee benefits, medical claims and insurance matters, including enrolment, employee movement updates, claim guidance, document review, exceptional reimbursement requests and support to employees or next of kin; provide employee and industrial-relations support by gathering evidence, coordinating approved letters and maintaining confidential records.
  • Serve as the HR coordination point for branches and relevant internal and external stakeholders; provide guidance, monitor outstanding submissions and service issues, coordinate learning and development, HRD Corp documentation.
  • Plan and coordinate employee engagement activities, including staff events, festive celebrations, recognition programs and team-building activities, as well as related communications, logistics, budget coordination and feedback collection.
  • Model and uphold the company’s culture, values, and ethical standards, inspiring trust and accountability at all levels.
  • Demonstrate adaptability and collaboration in supporting group-wide initiatives and cross-functional projects.  
  • Undertake special assignments and additional responsibilities as delegated by senior management from time to time.  
 
Education & Qualification 
  • Bachelor’s Degree or Diploma in Human Resource Management, Business Administration or a related discipline. 
  • Minimum 2 –3 years of relevant working experience in Human Resources, preferably in FMCG or manufacturing.  
  • Experience in HR operations, recruitment, payroll coordination, employee benefits and (SAP- Success Factors) is preferred.  
 
Technical & Functional Competencies 
  • Familiar with recruitment, onboarding, leave, performance management and employee separation processes.
  • Proficient in HRMS and Microsoft Office applications.
  • Strong documentation, coordination and record-management skills.
  • Able to handle confidential employee information with discretion.
  • Ability to manage data analytics would be an advantage
  • Good written and verbal communication skills in English, Bahasa Malaysia.
