The Human Resources and Administration Manager is responsible for leading the HR and administration function for the The Italian Baker’s nationwide sales operations. The role ensures that all human resources policies, procedures, and frameworks established by FFM Group HQ are executed effectively across all branches in Malaysia. Acting as the main contact person for branch managers on people-related matters, the incumbent provides guidance on HR practices, compliance with labour laws, and employee engagement.
 
This role also oversees the administration function to ensure smooth business operations, including licenses and regulatory renewals, facilities management, and coordination of events or projects under the sales entity. The incumbent works closely with Subject Matter Experts (SME) from FFM Berhad HR Office in executing people-related initiatives and serves as custodian of SOPs to ensure standardization and compliance across all branches.
 
 
Responsibilities 
 
Human Resources
  • Execute and implement HR policies, procedures, and initiatives from FFM Berhad’s HR Department across all branches nationwide.
  • Act as the primary liaison between FFMB HR SMEs (Talent Acquisition, L&D, Payroll, IR, HRMS, etc.) and branch managers on all people matters.
  • Provide HR support to branch managers on recruitment, onboarding, performance management, disciplinary matters, HRMS matters, compensation & benefits matters, employee engagement and any other related matters.
  • Ensure compliance with Malaysian labour laws and company policies across all branches.
  • Handle HR administration, including preparation of appointment letters for selected job grades, employee movement updates, and resignation processing.
  • Manage employee benefits administration (e.g. semi-flexi benefits claims, insurance renewals and claims).
  • Monitor and support employee relations, including handling employee grievances, complaints, and branch-level HR inquiries.
 
Administration
  • Oversee licenses registration and renewal (business licenses, KPDN, wholesale licenses, and other statutory requirements).
  • Serve as the contact person with government authorities (e.g. BOMBA, municipal councils) on matters directly under the sales entity.
  • Manage office administration and operations to ensure organizational effectiveness, efficiency, and compliance across branches.
  • Oversee facilities management including housekeeping, pest control, equipment upkeep, and safety requirements.
  • Coordinate events and projects for the entity, ensuring alignment with the Entity Head.
  • Act as custodian of SOPs; ensure compliance and standardization of HR and administration practices across all branches.
  • Monitor procurement of office items, ensuring efficiency, cost control, and consistency in pricing across branches.

  • Build, lead, and develop a competent, motivated and highly-performing HR and administration team.
  • Foster a workplace culture centred on safety, accountability, innovation, collaboration, and continuous improvement.
  • Set clear performance expectations and KPIs, conduct performance reviews, and provide coaching, feedback, and career development opportunities.
 
Stakeholder Engagement and Collaboration
  • Collaborate closely with relevant management team across the group, sales team, suppliers, and customers to align business operations with broader commercial goals.
  • Build and maintain productive relationships with regulatory bodies, industry associations, key customers, and external partners.
  • Serve as a key representative of the company in customer, regulatory, and industry engagements, as and when required.

Qualification, Experience & Skills
  • Minimum Bachelor’s degree in Human Resources, Business Administration, or related field. 
  • Minimum 6-8 years’ of relevant working experience in HR and administration, preferably in a multi-branch or sales/distribution environment.
  • Strong knowledge of HR policies, employment law, and HR operations.
  • Experience in managing administration, facilities, and licensing processes.
  • Proven ability to work with multiple stakeholders and matrix reporting structure.
  • Strong analytical and problem-solving skills with attention to detail.
  • Excellent communication and interpersonal skills, negotiation, and stakeholder management abilities.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
