Senior Executive, Project Administration

Job Summary

  • To assist superiors to coordinate construction and renovation projects across farms in term of project schedule, budget, issues and risks of the project and to ensure the project management is compliance with Company’s policies and procedures.
  • Coordinate and/or make purchases and payments, according to Company’s procedures and communicate with Head of department and suppliers as and when required.
  • Coordinate and communicate with farms/head office on administrative.

 

Job Responsibilities

  • To handle project management administrative tasks and documents such as contract or award letter, payment, record keeping, budgets, KM, BP and CCC submission.
  • To assist in supervising the progress of project, ensuring design specifications, safety practice, work schedule and other related requirements are met.
  • To highlight any issue to superior to maintain project progress as accordance to timeline.
  • To assist in organizing various aspects of the assign project, from inspection to construction, till complete and handover.
  • To Assist in managing communication matters for all internal and external stakeholders.
  • To coordinate between consultants, contractors, project team, finance, other stakeholders on any arising matters related to new projects.
  • To maintain accurate project documentation, contracts, variation orders, and progress report.

 

Experience & Qualifications

  • Bachelor’s Degree in Civil Engineering/Town Planning or a related field or equivalent education.
  • Minimum 5 years’ working experience in Project Administration/ Project Management/ in agriculture or manufacturing industry.

 

Technical Skills & Professional Knowledge

  • Able to review and interpret architectural, civil, mechanical and electrical drawings
  • Experiencing coordinating with consultants, contractors, and cross-functional teams
  • Skilled in project planning, cost estimation and site supervision
  • Proficient in documentation, reporting, and handling project submission and approvals
  • Familiar with local authority regulations (e.g., PBT, BOMBA, JTK, etc)
  • Display a high degree of accuracy, attention to details and the discipline to follow up outstanding matters.
  • Detail-oriented, good interpersonal skills, team player and possesses self-initiative.
  • Excellent verbal and written communication skills with the ability to communicate effectively with employees and stakeholders proficient in English, Bahasa & Mandarin.
  • Experienced in executing and improving procedures.
  • Able to engage in a professional and collaborative manner with internal and external stakeholders.
  • Well verse in Word, Excel, PowerPoint and CAD software. Experience in SAP environment, Microsoft Outlook, Team and OneDrive are an added advantage.
  • Strong organizational and time management skills to meet deadlines and manage multiple priorities.
